Writing or drafting manuscript content

Human Review Mandatory

Policy Summary

EDP Sciences states that its AI policy applies to the writing or drafting stage of the manuscript and requires disclosure at submission of any use or proposed use of AI during that process, including the tool, version, and the role it played. Authors must thoroughly review any AI-assisted content under human oversight, because AI-generated outputs may be inaccurate, incomplete, distorted, out-of-context, or biased. Authors are ultimately responsible and accountable for the content of their work.

Evidence

  • This policy applies solely to the writing process, not to the use of AI tools for data analysis or research activities. Authors must thoroughly review all AI-assisted content, as AI-generated outputs may be inaccurate, incomplete, distorted, out-of-context or biased. Any use or proposed use of AI in the writing process must be disclosed at submission, specifying the tool, version, and its role.

Translation of manuscript text for the purpose of publishing

Human Review Mandatory

Policy Summary

EDP Sciences permits authors to use AI tools for language editing, which encompasses translation, when preparing their manuscripts. Authors must acknowledge the use of any such AI tool in an ‘Acknowledgements’ section and state which tool was used and for what purpose. Authors are fully responsible for all manuscript content, including any AI-generated sections, and must carefully review and edit the work because AI output may be incorrect, incomplete, or biased.

Evidence

  • Authors who use AI tools (e.g., ChatGPT, language models) whilst preparing their work (e.g., conducting literature searches, managing citations, language editing), must acknowledge their use in the work in an ‘Acknowledgements’ section. Here, they must state which AI tool was used and for what purpose. Authors are fully responsible for the content of their paper, including any sections created by an AI tool. They must therefore carefully review and edit the work, as AI can generate text that appears genuine, but may be incorrect, incomplete or biased.

Refining or formatting of data reported in the manuscript

Policy Summary

EDP Sciences prohibits authors from using AI tools to generate or report research results or data, including content in images and tables. AI tools are permitted only to improve the language and readability of a manuscript, and authors remain fully responsible for the quality and accuracy of their work, including any AI-generated text. Any use of an AI tool must be declared upon submission in both the cover letter and in the manuscript (in an ‘Acknowledgements’ or dedicated end section). The policy does not specify human review requirements for this classification.

Evidence

  • Authors are not permitted to use AI tools for any of the following: [...] generating or reporting research results or data, including images, tables, etc. [...] Authors are permitted to use AI tools in the preparation of their manuscripts but only for improving the language and readability. [...] Authors are fully responsible for the quality and accuracy of their work, including any AI-generated text. Any use of an AI tool must be declared upon submission in the cover letter AND in the manuscript in an ‘Acknowledgements’ or a dedicated section at the end of the manuscript.

Generation, refinement, correction, editing or formatting of images, diagrams or other figures for illustrative purposes only

Policy Summary

EDP Sciences prohibits the use of generative AI or AI-assisted tools to create or modify images, figures, or visual data in submitted manuscripts, including changes that enhance, obscure, move, remove, or introduce features within a visual element. Basic adjustments to brightness, contrast, or color balance are permitted only when they do not alter or obscure the original information. Generative AI is not permitted for graphical abstracts. Exceptions for cover illustrations may be considered only with prior approval and only if necessary rights are secured and appropriate attribution is ensured. The policy does not specify human review requirements for this classification.

Evidence

  • The use of generative AI or AI-assisted tools to create or modify images, figures, or visual data in submitted manuscripts is not permitted. This includes enhancing, obscuring, moving, removing, or introducing features within a visual element. Basic adjustments to brightness, contrast, or color balance are acceptable only if they do not alter or obscure original information. The use of generative AI in graphical abstracts is not permitted. For cover illustrations, exceptions may be considered with prior approval from the journal editor and publisher, provided that all necessary rights have been secured and appropriate attribution is ensured.

06

Generation, refinement, correction, editing or formatting of visualisations of research data or results

Policy Summary

The publisher prohibits the use of generative AI or AI-assisted tools to create or modify images, figures, or other visual data in submitted manuscripts. An exception is allowed only when such AI tools are part of the research methodology (for example, AI-assisted image generation or interpretation). In those cases, authors must include a reproducible methods description that identifies the tool’s name, version, provider, and purpose, and they may be asked to provide original or unprocessed images for verification. The policy does not specify human review requirements for this classification.

Evidence

  • The use of generative AI or AI-assisted tools to create or modify images, figures, or visual data in submitted manuscripts is not permitted. Exceptions are allowed only when AI tools are part of the research methodology; for example, in AI-assisted image generation or interpretation. In such cases, authors must provide a reproducible description in the methods section, including the tool’s name, version, provider, and purpose. Authors may be asked to submit original or unprocessed images for verification.

07

Refinement or formatting of code reported in the submitted manuscript

Human Review Mandatory

Policy Summary

EDP Sciences prohibits authors from using AI tools to generate new computer code. Authors may use AI tools for code-related tasks limited to AI-assisted debugging and code completion, and such use must be disclosed in the manuscript. Authors are responsible for the accuracy of their submissions and must carefully review any AI tool output because it may be incorrect or biased.

Evidence

  • We do not permit authors to use AI tools to generate new computer code. Permitted usage for code is limited to AI assisted debugging and completion. Such usage must be disclosed. ... the use of AI tools must be transparent, and their output must be checked carefully by the authors. In particular, we remind authors that they are responsible for the accuracy of their submissions and as an AI tool may produce incorrect or biased content, it is therefore imperative that authors review the output.

Assisting with gathering references

Human Review Mandatory

Policy Summary

EDP Sciences requires authors to disclose at submission any use or proposed use of AI in the writing process, including identifying the tool, version, and its role. The policy lists reference management as an example of an AI-assisted technology. Authors must acknowledge any AI tool use in the Acknowledgements section, stating which tool was used and for what purpose.

Evidence

  • Any use or proposed use of AI in the writing process must be disclosed at submission, specifying the tool, version, and its role. AI-assisted technologies: Software tools that apply AI methods to assist or enhance specific tasks. Examples include language editing, reference management, image analysis, or plagiarism checking. Authors who use AI tools whilst preparing their work (e.g., conducting literature searches, managing citations, language editing), must acknowledge their use in the work in an 'Acknowledgements' section.

The Responsible Use of AI Initiative

Enago has been working with authors from Japan, China, South Korea, the Middle East, and South America, to edit and polish their manuscripts, supporting them in getting their voices heard and their research out.

The advent of GenAI brought incredible new opportunities, but with a nice side of confusing policies, unclear guardrails, and a lot of responsibility on researchers.

Our own frustration, coupled with what we were hearing from our customers, led to this initiative. We think there should be zero compromise on research integrity, and this is our way of supporting the research publishing ecosystem and its stakeholders.

We love feedback. So if you have something to tell us, please send us a message.
